Joomla sites are good at collecting leads. Contact forms, registration flows, and gated content signups run smoothly within the CMS. The problem starts after submission: that data usually sits in the Joomla database while sales and marketing teams work entirely inside a CRM. Someone has to export a spreadsheet, clean it up, and upload it manually, and by the time a lead reaches Salesforce or HubSpot, the moment to follow up quickly has often passed.

Instead of treating form and registration data as something to export later, the extension lets a Joomla site call an External API the moment a submission happens, sending the lead straight into Salesforce, HubSpot, Zapier, or any webhook-based tool. For teams that prefer the CRM to control the timing, the same extension can expose that data as a secured Custom GET endpoint that the CRM pulls on its own schedule. Either way, Joomla stays the system where customers sign up, and the CRM stays the sales system of record.

Manually bridging Joomla and a CRM through spreadsheet exports works for a handful of leads a month. It breaks down once volume or urgency increases:

  • Delayed lead handoff: Leads sit in the Joomla database until someone exports and uploads them, so sales often follows up hours or days after a prospect actually showed interest.
  • Manual export overhead: Someone on the team has to own the recurring job of pulling records, formatting them, and pushing them into the CRM by hand.
  • Data entry errors: Copy-pasting between spreadsheets and a CRM introduces typos, duplicate records, and dropped fields that a direct API call would never produce.
  • No real-time visibility: Marketing and sales cannot see a new registration or form submission until the next export cycle runs, which makes fast-moving campaigns hard to support.
  • Insecure or ad hoc workarounds: Without a proper API layer, teams sometimes resort to exposing database tables or building fragile custom scripts just to move data out of Joomla.

The implementation replaces manual exports with a direct, authenticated connection between Joomla and the CRM, configured entirely inside the Custom API extension.


Step 1: Configure the outbound External API. In the extension, an External API is set up pointing to the CRM or Zapier webhook URL. The HTTP method (typically POST), headers such as an API key or Bearer token, and the JSON body structure are all defined here, matching whatever format the receiving CRM expects.


Step 2: Map form fields into the request. The API Script Generator maps the relevant form field IDs into the outbound payload, so the fields a visitor fills in on the Joomla form line up with the fields the CRM expects to receive. For simpler cases, the External API can also be called directly from the form's post-submit flow with a single function call, without building a full custom connector.


Step 3: Trigger the sync on submission or registration. Once mapped, the External API call fires automatically whenever a form is submitted or a new user registers, so the lead or user record reaches the CRM within the same request cycle, not on a batch schedule.


Step 4: Or expose the data for the CRM to pull. For teams that prefer Zapier or middleware to control timing, a Custom GET API can be created on the users table or form storage table instead, with specific columns and filters chosen. Zapier or an equivalent tool then polls that endpoint on a schedule to fetch new records.


Step 5: Secure every endpoint. Whichever direction the data flows, the endpoint is protected with an API Key, JWT, or Basic Auth, so only the approved CRM or middleware tool can read from or send data to the Joomla site.

Once the External API or Custom GET endpoint is configured, leads and registrations stop depending on someone remembering to run an export. Records reach Salesforce, HubSpot, or Zapier automatically, in close to real time, with the same field mapping every time.

Sales and marketing work from one system, Joomla stays the front door for signups, and the manual spreadsheet step disappears from the workflow entirely.
