How to Connect WooCommerce with Dynamics 365 Business Central?

WooCommerce helps manage your online store, while Dynamics 365 Business Central brings customer, product, sales order, and invoicing data together in one place. Many businesses use both platforms to process online orders and manage the related business records in Business Central. When these two platforms run separately, teams often need to look in multiple places to understand an order, a customer, or a product. Details can fall out of date, and follow-ups can take longer.

The miniOrange Integrate Dynamics 365 CRM Plugin brings WooCommerce and Business Central together so information can move in a clear, organized way. Once configured, WooCommerce orders can create sales orders in Business Central, products can be imported from Business Central into WooCommerce, and customers can be provisioned as WordPress accounts. You can also update the WooCommerce order status after the order is invoiced in Business Central.

This guide walks you through the Business Central connection first. After that, you will configure every tile on the WooCommerce Sync tab.

Before you set up WooCommerce sync with Business Central, make sure you have the following:

  • Access to the Microsoft Entra tenant associated with your Business Central account.
  • Permission to register an application in Microsoft Entra ID.
  • Administrator access to Business Central.
  • Access to the Business Central environment you want to connect.
  • Permission to create and configure a Microsoft Entra Application in Business Central.
  • The miniOrange Integrate Dynamics 365 CRM Plugin installed and activated on your WordPress site.
  • WooCommerce installed and active on the same WordPress site.

Complete this setup once before you configure any tile on the WooCommerce Sync tab. There are three parts. First, register an application in Microsoft Entra ID. Next, grant that application access to Business Central. Then enter the credentials in the plugin.

Create a Client Secret

  • Open the application you just registered.
  • Go to Certificates & secrets and click New client secret.

  • Enter a Description and choose an Expiration, then click Add.

  • Copy the generated secret value. You will need it later in the plugin.

Configure API Permissions

  • Go to API permissions, click Add a permission, then choose Microsoft APIs.
  • Select Dynamics 365 Business Central.
  • Select Application permissions.

  • Select the required permission, for example, Automation.ReadWrite.All, and click Add permission.

Grant Admin Consent

  • On the API permissions page, click Grant admin consent and confirm.
  • The permissions should now show the status Granted.

Configure the Application in Business Central

  • In Business Central, search for Microsoft Entra Applications and click New.

  • Enter the Application (Client) ID from Microsoft Entra, add a Description, and set State to Enabled.
  • Under User Permission Sets, add D365 BUS FULL ACCESS and select your company.

Configure the Plugin

  • In the WordPress admin dashboard, open the miniOrange Integrate Dynamics 365 CRM Plugin.
  • Go to the Manage Application tab, set Connection Type to Business Central, and click Save.

  • Under Configure Tenant & Environment, enter the Tenant ID and Environment Name, then click Save.

Note: Enter the exact environment name shown in the Business Central Admin Center. In the Business Central URL, this is the value that appears immediately after the tenant ID, such as Testing. Do not enter the environment type, such as Sandbox or Production.


  • Under Setup Connection, enter the Application (Client) ID and Client Secret, then click Save.

After completing the steps above, the connection between WordPress and Business Central is successfully established. You can now configure the WooCommerce Sync tab.

Before You Start

Schema

  • A status line at the top of the WooCommerce Sync tab shows whether the Business Central schema has loaded.
  • Click Refresh Schema after you publish a new entity or field in Business Central.

Entity Surface Types

Some tiles require you to select how the plugin accesses a Business Central entity.

You can choose from three options:

  • Standard Entity (Modern API/v2.0): Connects to Business Central's built-in REST API. Select this when the required entity is available through the standard API.
  • Custom API Entity: Connects to a custom API published in Business Central. Enter the Publisher, Group, API Version, and Entity Set Name.
  • Classic Web Service (OData v4): Connects to an entity published as a Business Central web service. Enter the Service Name to configure the connection.

How Field Mapping Works

Customer Mapping, Order Mapping, and Customer Provisioning follow the same process for mapping values to Business Central fields. For each field, select a Mapping Type and provide the required value:

  • WooCommerce Field: Maps a value from a WooCommerce order or customer field.
  • Static Value: Adds the same fixed value during every sync.
  • Lookup, Resolve via Entity: Maps the Business Central record ID of an already synced customer or product.

Note: The table always displays all three input rows. Complete only the row that matches the selected Mapping Type. Each Business Central field can have only one mapping. To change an existing mapping, remove it first and then add the new mapping.

The Product Lookup Key tile defines how products in WooCommerce order line items are matched with existing items in Business Central. It does not create or update products.

  • Choose the entity surface and fill in the matching fields, then click Save.
  • For Standard Entity, select the target entity from the dropdown.
  • For Custom API Entity, enter Publisher, Group, API Version, and Entity Set Name.
  • For Classic Web Service, enter the Service Name, such as Item.
  • Select a Primary Key (required) and a Secondary Key (optional fallback). Use only plain value fields for both keys.

Note: If a line item’s product has no match, the entire order sync is skipped.

The Customer Mapping tile matches each WooCommerce order with an existing customer in Business Central. If no matching customer is found, the plugin can also create a new customer record.

  • Configure the target entity using Standard Entity, Custom API Entity, or Classic Web Service, then click Save.
  • Set the Primary Key and, if needed, a Secondary Key so orders can be matched to an existing Business Central customer, for example, by email.
  • Keep the Create a new Customer record if no match is found toggle selected, which is enabled by default. Change the setting if needed, then click Save.

  • Under Field Mapping, map Business Central fields using WooCommerce Field, Static Value, or Lookup. The WooCommerce Field options include WooCommerce billing fields for both guest and registered customer orders.

The Order Mapping tile creates a new Sales Order in Business Central for each WooCommerce order that syncs. Unlike Product Lookup Key and Customer Mapping, this tile does not require a matching key.

Order Header

  • Configure the target entity and click Save.
  • Map the required fields, such as billing and shipping details, Order Number, Customer Note, Order Currency, and Order Date.
  • The customerId field is automatically mapped to Lookup, Resolve via Customer.

Order Line Items

The Order Line Items section appears after you save the Order Header target entity.

  • Configure the target entity, then click Save.
  • Map the required fields, such as Product Name, SKU, Quantity, Line Subtotal, Line Total, Line Tax Amount, Unit Price, and Discount Amount.
  • The itemId field is automatically mapped to Lookup, Resolve via Product.

Sync Trigger

This section appears once the Order Header target entity is saved.

  • Select one or more order statuses to trigger sync: Pending Payment, Processing, On Hold, or Completed.
  • You can start or stop real-time sync from Step 6: Manage Order Sync.

The Test Order Sync tile lets you sync a single WooCommerce order and check your field mappings before starting real-time sync.

  • Enter the WooCommerce Order ID and click Run Test Sync.
  • The result can be Success (the Business Central Sales Order number is displayed), Skipped (the order has already been synced), or Aborted (the reason for the failed sync is displayed).

The test runs immediately, whether real-time sync is running or stopped in Step 6: Manage Order Sync.

Note: Test your setup with sample data before applying it to your live store. Running tests in a Business Central sandbox can help keep test data from affecting your production records.

The Manage Order Sync tile controls real-time order sync. Saving your mappings or running a test sync in Step 5: Test Order Sync does not start real-time sync.

  • Click Start Real-Time Sync to begin. Once sync is running, the button changes to Stop Real-Time Sync, and the status shows Running or Stopped.
  • While sync is running, orders automatically sync when they move to one of the statuses selected under Sync Trigger in Step 4: Order Mapping.

The Import Products from Business Central tile imports products from Business Central into WooCommerce and matches them using the configured SKU. Set up Step 2: Product Lookup Key first, as this tile uses the same target entity and Primary Key.

Field Mappings

  • Map the required product fields, including Product Name, Regular Price, Description, Stock Quantity, Product Image, and Product Category.
  • Select the appropriate D365 Field for each mapping. The plugin saves changes to this selection automatically.
  • Map Product Image to a picture or navigation field, and select plain value fields for all other mappings.

Product Category (Value Translation)

  • Set Transformation to Value Substitution. Optionally add a Fallback value, then click Save.
  • Enable Automatic Lookup, then enter the Entity Name, Code Field, and Description Field. Click Refresh Now to retrieve the code and description values.
  • Under Manual Fallback, manually add the BC Value to Category Name mappings. The plugin applies these mappings only when Automatic Lookup cannot resolve a value.

B2BKing Visibility Mapping

  • Make sure the B2BKing plugin is active.
  • Set Transformation to B2BKing Visibility Mapping, then click Save.
  • Map a BC Attribute ID to a B2BKing Customer Group, then click Add Mapping.
  • The plugin enables the mapped customer group when the resolved attribute value is Yes.

Item Attribute Value Source

  • Select Enable Item Attribute Value Lookups.
  • In Step 1, enter the Surface, Entity Name, Item Field, Attribute ID Field, and Value ID Field.
  • In Step 2, enter the Surface, Entity Name, Attribute ID Field, Value ID Field, and Value Text Field.
  • Click Save.

Hazardous Chemical Surcharge

  • Select Enable Hazardous Chemical Surcharge Sync.
  • Enter the BC Attribute ID, then click Save.
  • The plugin assigns the hazardous-chemicals-surcharge shipping class when the resolved value is exactly LQ.

Marketing Text to Description

  • Select Enable Marketing Text Sync.
  • Enter the Surface, Entity Name, Item Field, and Text Field, then click Save.
  • When Marketing Text contains a value, it overrides the Description field mapping.

Import a Single Product

  • Enter the value of the configured SKU field, then click Import Now.
  • The result can be Created, Updated, Skipped, or Failed with an error message.

Bulk Sync

  • Click Start Bulk Sync to begin importing products in bulk. While the sync is running, you can Pause, Resume, or Reset it. Reset requires confirmation and does not affect products already imported.
  • Track the sync through the progress details, which show the current status, planned, completed, and pending records, along with created, updated, and skipped counts, the estimated completion time, and the next pass countdown.
  • Select the wait time between passes: 15 minutes, 30 minutes, Hourly, Every 6 Hours, or Daily. Then click Save.

The Customer Provisioning tile creates or updates WordPress accounts from Business Central customer records. It works independently of Customer Mapping in Step 3 and does not depend on an order.

  • Configure the source entity using Standard Entity, Custom API Entity, or Classic Web Service, then click Save.
  • Select the Unique Id Field, such as Customer Number, then click Save.

WordPress Account Fields

  • Click + Add Attribute to map WordPress account fields to Business Central fields. Available fields include First Name, Last Name, Nickname, Display Name, Bio, Website, Email, and Username.
  • The plugin applies the Username only when it creates a new account and does not update it afterward.

WooCommerce Billing Address Fields

  • Map the WooCommerce billing address fields using the same field mapping method.
  • The plugin maps these fields only from the main Customer Card address in Business Central. It does not pull values from a Ship-to Address.

Ship to Addresses and the Koala Checkout Dropdown

  • Configure the entity surface for Ship-to Address.
  • Set the Field That Links Back to the Customer and Address Code Field, then click Save.
  • When using Classic Web Service, the plugin automatically fills the Koala mapping table after both link fields are set. Review the mappings before continuing.
  • Map Koala's fixed fields, including Name, Company, Country, State/County, Address 1, Address 2, City, Postal Code, Phone, and Email, to the corresponding Business Central fields. You can also click Auto-Map Remaining Fields, then click Save.
  • If both First Name and Last Name map to the same Business Central field, the plugin automatically splits the combined Name value.

Send Account Setup Email

  • Select the toggle to send an account setup email when the plugin creates a new customer account. This option is selected by default and applies only to newly created accounts.

Provision a Single Customer

  • Enter the Customer’s identifier value and click Import Now.
  • The result will be Created, Updated, Skipped (no ID, no usable email, or an email conflict), or a failure with an error.

Bulk Sync

  • Click Start Bulk Sync to begin. Click Reset to stop a running pass. This tile does not include Pause or Resume, and Reset requires confirmation.
  • The progress display matches Product Import.

Which Customers to Import

  • This filter requires the Unique ID Field to be the customer's Number field.
  • Select the General Business Posting Groups to include. If you do not select any groups, the plugin imports every customer. Click Save.
  • Under Advanced Filtering, enter a raw Business Central filter expression if needed. The plugin applies the most recently saved filter.

Wait Between Completed Passes

  • Select from the same interval options available under Product Import. This schedule runs independently.

The Order Status Sync tile updates the WooCommerce order status after Business Central marks the corresponding order as invoiced. It runs in the opposite direction from Order Mapping in Step 4, so configure Step 4 first.

Sales Invoice Entity

  • Configure the Sales Invoice entity using Standard Entity, Custom API Entity, or Classic Web Service.

Status Mapping

  • Select the WooCommerce status to apply when Business Central invoices the order. The default is Completed. Click Save.

Check Interval

  • Set how often the plugin checks for invoiced orders in Minutes or Hours. The default is 30 minutes. Click Save.

Check a Single Order

  • Enter a WooCommerce Order ID, then click Check Now.
  • The plugin displays the same step-by-step trace as Test Order Sync and ends with either Success or an Aborted result with a reason.

Manage Sync

  • Click the Start Order Status Sync or Stop Order Status Sync toggle to manage the sync. The status shows whether the sync is Running or Stopped.

Needs Manual Review

  • This worklist shows up to 50 orders that the plugin could not find in Business Central Sales Orders or Sales Invoices.
  • Click Dismiss to remove the order from the worklist. This does not change the order status.

You have successfully configured WooCommerce Sync for Dynamics 365 Business Central.

After completing the configuration, run a test to confirm that data flows correctly:

  • Import a single product from Business Central and confirm that it appears in WooCommerce with the expected values.
  • Provision a single customer and confirm that the WordPress account and billing details match the configured mappings.
  • Create or select a sample WooCommerce order, then run Test Order Sync. Confirm that Business Central creates a Sales Order with the expected customer, items, and line values.
  • If Order Status Sync is enabled, invoice the test order in Business Central and click Check Now to confirm that WooCommerce updates the order status.
  • If the data does not appear as expected, review the field mappings, entity surface settings, API permissions, and company selection. Test the connection again after making any changes.
