How to setup Inventory Sync between Shopify and S&S Activewear to sync products?

Simplify inventory management with an easy S&S Activewear Shopify integration. This guide explains how to automate S&S Activewear product imports, inventory syncing, and price updates in your Shopify store. This process helps you keep accurate stock levels and cut down on manual work.

Pre-requisites: Application Installation

• Log in to your Shopify Admin.
• Go to Apps → Shopify App Store.
• Search for miniOrange Inventory Sync.
• Click Install to add the app to your store.
• Open the app from Apps to start S&S Activewear Shopify Inventory Sync configuration.
• Keep your S&S Activewear Account Number and API Key ready.

Step-by-Step guide for configuring Inventory Sync between Shopify and S&S Activewear

Step 1: Create and Select Connection

• Navigate to App section and click on the Inventory Sync application.

• Click on the Create Connection button.

• Select S&S Activewear as the connection source from the list of suppliers.

Step 2: Connection Setup

• To establish the connection, provide a suitable “Connection Name” to identify the connection.
• Enter your S&S Activewear credentials, which include your Account Number and API Key.
• Choose a Region, such as United States or Canada.
• Click on the Test Connection button.

• After successful Test Connection, you will see the next step i.e. the Location Mapping step where you need to map S&S Activewear locations to your store locations.

Step 3: Location Mapping

• Select your S&S Activewear locations (Source Locations) and Store Location (Destination Location). Source options include All Inventory, Dropshipping, All Except Dropshipping, and individual warehouses such as Reading, PA.

• Click on the "Add location" button to map multiple locations.
• Click on the "Save & Next" button.

Step 4: Generic Filters

• Generic filters control which products, variants, and warehouse data are synced from your supplier to your Shopify store.
• You can filter based on various attributes and conditions to ensure only the relevant data is imported.
• Locate the Enable Generic Filter section and switch the toggle to enable it.

• Once enabled, the filter categories for Product, Variant, and Warehouse will become active.

Choose which level of data you want to filter by clicking the corresponding filter.

• Product Filter: Used for high-level data like Brand Name, Style ID, or Category.

• Variant Filter: Used for specific item details like Color Family, Size, or Unit Weight.

• Warehouse Filter: Used for stock data on the mapped warehouse, such as Available Quantity. Filters apply only to the S&S Activewear location you mapped under Location Mapping.

For each filter you add, configure the following fields:

• Filter on: Select the specific attribute (e.g., Brand Name).
• Condition: Choose the logic operator (e.g., Equal to, Contains, or Field does not exist).

Operator	Logic
Equal to	An exact 1-to-1 match. The supplier's data must match your input perfectly (including spaces).
Equal to any in list	Matches any exact value from a comma-separated list you provide.
Not equal to	Excludes records that exactly match the single value you enter.
Not equal to any	Excludes records that exactly match any value in a comma-separated list.
Contains	Matches if your specified text is found anywhere within the supplier's field.
Contains any from list	Matches if any of the keywords in your comma-separated list are present within the supplier's field.
Does not contain	Matches when the specified text is not found anywhere in the supplier's field.
Does not contain any of	Matches when none of the keywords in your comma-separated list are present in the supplier's field.
Field does not exist	Targets and identifies records where the specific attribute (e.g., Color or GTIN) is missing or empty.

• Value:
  1. Autocomplete: If a dropdown list appears, select your value from the list.
  2. Manual Entry: If no list appears, manually type the exact value provided by your supplier. Ensure correct spelling and capitalization.

If you need to narrow down your results further using advanced logic, click + Add condition inside a filter card.

• AND: The item must meet both rules to sync.
• OR: The item can meet either rule to sync.

• Comma-separated values: When the condition is a list operator, such as Equal to any in list, type multiple values in the Value field and separate them with commas. For example, Tee, Polo, Hoodie. The Value field shows the placeholder “Comma separated values” for these operators. Each value is checked on its own, so a product is included when it matches any value in the list. Use the same comma-separated format for Contains any from list, Not equal to any, and Does not contain any of.

• After completing your filter settings, click Save in the top Shopify bar to store your settings.
• Click Save & Next at the bottom of the page to finalize the workflow.

• Once configured, only products and variants that match your specific rules will be synced to your store.
• You can update or reset these filters at any time to reflect changes in your business strategy.

Step 5: Schedule Sync

• Enable the “Schedule sync” option to choose how often to sync inventory products.

• Choose “Select Schedule” to set how often products sync (Hourly, Daily, Weekly, or a day range such as Saturday – Sunday).
• Set the “Scheduled Time” for when the import or sync should start.
• Click on the “Save & Next” button.

Step 6: Price Update

• Enable the “Price Update” button to apply the pricing rule to all products in the store.

• Click on the “Add Rule” option to add pricing rules. (You can add pricing rules from the list. There are three different types of pricing rules available, e.g, Fixed Amount, Percentage, and Custom expression.)

Custom Expression — This option allows you to manually define how a value should be calculated rather than using a fixed number or pre-defined formula. You can enter your mathematical formula in the form of an expression like “Price*5/2”, Where price — A variable representing the original price, * — Multiplication operator, / — Division operator. To configure a pricing rule, select Update by, Operation, and Value.

• To configure a pricing rule, select Update by, Operation, and Value. For example, update Compare Price from the supplier Selling Price by a Fixed Amount using Add and a value of 100.
• Then, click on the “Save & Next” button.

Step 7: Sync Settings

Configure how supplier data updates your store and how new products are created in Shopify.

• Under Select fields to sync, search product fields and choose which S&S Activewear data should update your Shopify products. You can select Images, Inventory, Prices, Title, Description, and SKU.
• If no fields are selected, all fields will be synced.
• Under Status for newly imported products, choose the Shopify status applied when a product is created for the first time, such as Active.
• Click Save & Next.

Step 8: Publication

• Choose all “Sales Channels” where you want to publish your products.
• Then, click on the “Next” button.

Step 9: Order Sync

Order Sync sends paid Shopify orders to S&S Activewear and can mark them fulfilled in your store.

• Open the Order Sync tab.
• Enable Order Sync to create orders in S&S Activewear. Orders are automatically marked as fulfilled in Shopify.

• Enable Auto Fulfillment to fulfill orders as soon as they are paid and create them in S&S Activewear without a manual step.
• If Auto Fulfillment is off, an admin must mark the order as fulfilled before it is created in S&S Activewear.

• Enable Test Order to generate test orders and confirm the S&S Activewear workflow.

• Under Connection Settings, enter the Payment Profile Email and click Fetch Profiles.

• Select the Payment Profile used to place orders in S&S Activewear.

• Enable Disable Dropshipping to place orders with the selected store address. When this option is off, orders use the customer's shipping address.
• If dropshipping is disabled, choose the Store Location from the dropdown.
• Click Save & Next.

Step 10: Manual Sync

This is optional. If you have already configured the schedule sync option, the products will be imported and synced automatically at the scheduled time. The Schedule Sync option is recommended to import and sync the products regularly.
Use this option if you want to import the products right away.

• Click on “Import Products” to transfer your products from source to store.

• Once the “Import Products” button is clicked, the transfer of products from the source to the store starts. When it finishes, the status shows Products Import Complete.

• The product import process has been completed. If you'd like to sync manually in the future, you can click the Sync Now button.
