To keep file access organized and secure, we use the miniOrange Embed SharePoint OneDrive Documents Enterprise plugin. This plugin lets us control exactly who can view, edit, download, and share files from SharePoint and OneDrive, all within our WordPress site.

We can easily manage access to SharePoint/OneDrive documents by connecting WordPress user roles (e.g., Administrator, Editor, Subscriber, etc.) to specific documents and folders. Here’s how this works in practice:

  • All SharePoint/OneDrive files, folders, and documents are embedded directly into WordPress and display real-time updates without storing any documents locally to WordPress.
  • Admins map WordPress roles (like HR Manager, Employee, or custom roles) to the desired files and folders using the plugin dashboard.
  • When users log in, the plugin checks their WordPress role and grants access only to the files and folders assigned to that role.

For example, when the HR team uploads a policy document to SharePoint, it automatically shows up in WordPress. The site administrator gives permission for the “HR Manager” role to access this document folder, so only HR staff can open or change the policy. Other employees with the “Employee” role can only see general company announcements and cannot access sensitive HR files. This way, important documents stay secure and only the right people can view or edit them.

When we work with outside consultants or project partners, we use username or email domain mapping for even more precise control. This ensures authorized access to SharePoint/ OneDrive documents for the right people, every time.

  • Admins map specific usernames or email domains (like @domainname.com) to the desired files and folders.
  • When users log in, the plugin checks their email or username and automatically assigns the correct role, giving them access only to the mapped content.

For instance, if a consultant from @domainname.com needs access to a project folder, the admin maps that email domain to the project folder. Now, whenever someone logs in with a matching email, they’re automatically given access to the project files, while everything else stays private. Internal teams and other partners see only what’s relevant to them.


With these flexible options, we can keep our documents secure and our collaboration smooth, no matter how our team grows or changes.
