Texas EquuSearch, a non-profit organization, provides search and recovery services for missing persons. Their challenge was managing incoming case details efficiently through their website. The automated data synchronization with Salesforce from Gravity Forms by integrating the miniOrange Object Data Sync for Salesforce Plugin for their WordPress site. This use case explores how the integration transformed their workflow and enhanced operational efficiency.

Texas EquuSearch is a non-profit dedicated to conducting search and recovery operations for missing individuals. Working alongside law enforcement and families, they leverage volunteers, technology, and expertise to conduct effective searches. A crucial part of their mission is efficiently managing the intake of missing person reports and coordinating search efforts.

Texas EquuSearch collects vital information about missing persons and their families through Gravity Forms on its WordPress website. Once they receive a missing person report, they display it as a post in the form of cards on their website.

They use Salesforce CRM to centralize all the data and analyze it to further streamline their search process.

The organization wanted the missing person's report submission to be transferred into their Salesforce CRM, where cases and leads could be managed easily and more precisely.

They also wanted the cases recorded in the Salesforce CRM to be synced to their WordPress and displayed as posts on the Website. So, whenever the status of the missing person is updated in Salesforce, it is reflected on the WordPress site in real-time.

Prior to implementing a streamlined solution, the process involved manual data entry, which was time-consuming, prone to errors, and inefficient in urgent situations.

The Object Data Sync for Salesforce Enterprise plugin is used for seamless synchronization of the entries submitted by Gravity Forms with their respective Salesforce objects.

Texas EquuSearch integrated the Object Data Sync for Salesforce Plugin for their WordPress site to overcome these challenges.

To transfer the report submission into the Salesforce CRM, Gravity Forms were integrated in such a way that the data through the Gravity Forms are instantly synchronized to their corresponding Salesforce object (in this scenario, it would be cases).

Salesforce Web to Lead Management | Workflow One

The miniOrange Object Data Sync for Salesforce plugin utilizes the Gravity Forms after the submission hook to trigger the synchronization process. By providing an Object Mapping interface, this plugin allows you to map your specific Gravity Form to your Case Salesforce Object. The attribute mapping provides you the ability to map the fields present in your Gravity form to your respective Salesforce Case object fields.

To display cases recorded or updated in Salesforce CRM on the website, each Salesforce record was synchronized with the WordPress site as a custom post. Whenever a record is created or updated in Salesforce, the changes are instantly reflected on the WordPress site.

Salesforce Web to Lead Management | Workflow One

Whenever an update is made to an existing Case record or a new Case record is created. This triggers the automation flow, which further initiates the action of sending the Outbound Message for that Case record to the WordPress site. The Outbound Message encapsulates the values for those Salesforce fields for which the Outbound has been configured. The plugin captures the Outbound Message in real-time and creates/updates the data in the corresponding WordPress post type.

  • Eliminates Manual Data Entry: Reduces the administrative burden and minimizes the risk of errors.
  • Real-Time Case Creation: This ensures immediate action can be taken in time-sensitive situations.
  • Seamless Integration: Automatically syncs Gravity Forms submissions with Salesforce, maintaining accurate and up-to-date records.
  • Improved Coordination: Provides a structured and centralized system for managing missing person cases.
  • Enhanced Data Security: Ensures sensitive information is securely stored and managed within Salesforce.

By leveraging the Salesforce Web to Lead for WordPress integration, Texas EquuSearch has significantly improved the efficiency of its search and recovery operations. The automated workflow allows them to focus on what truly matters—finding and helping missing persons—without administrative bottlenecks slowing them down.

With the Salesforce Sync plugin for WordPress, Texas EquuSearch has transformed its case intake process, making it more streamlined, reliable, and responsive. This solution empowers them to serve families more effectively, ultimately contributing to better search and recovery outcomes.
